To Metro Fitness Sunbury Members Regarding our Temporary Closure:

Thank you for your patience as we have been diligently working through this unprecedented series of events. We would like to update you as to how we will be managing operations and memberships through this period. There is a lot of information to follow, so please read carefully.

First, we are doing our absolute best to take care of our employees. All of our cleaners, supervisors, instructors and trainers will be paid according to their existing work schedules through at least the end of March. We will provide as much help as we can in assisting them applying for any benefits they qualify for. We will bring every single employee back to work when this is over.

Second, we will not be sitting idle. We will be using this time to make repairs and improvements, deep cleaning, and accomplishing operational and administrative tasks to make sure we are absolutely ready to roll when we get the green light to reopen. Our Sunbury members know that we have recently upgraded all of our lighting to more efficient and environmentally conscious LED lighting. Additional work will happen during the shutdown.

Third, on memberships… We understand that some of our members may be experiencing financial hardship during this time, and we do not wish to contribute to this burden. That said, many of our members have expressed to us that they wish to keep paying their dues in order to assure that we will reopen when this is over. As an independent small business (each gym is individually owned and operated) without a large corporate structure to rely upon, we are carefully evaluating our commitments to our lenders, property owners, vendors and other creditors. We are awaiting direction from all of them, as well as our leaders in public service. To that end, any revenue that we can generate while we are closed is extremely helpful, so if you can afford to do so, we would appreciate you keeping your membership active.

Importantly, we will be temporarily waiving the requirement in all Membership Agreements to submit requests in person. All requests for cancellation and freezes must be submitted via email ONLY. We will reevaluate this email request policy in a few weeks’ time. Please see details below.

Finally, what to do?

If you wish to keep your membership active, do nothing. When this is over, we will evaluate the length of the closure and work with members to establish a system of credits that can be issued toward future membership dues or other goods and services.

If you are a Paid-In-Full member, also do nothing. We will apply a similar strategy. If your membership happens to expire during the closure, we will address those few members when the time comes.

If you wish to FREEZE your membership, ensuring that your dues payments resume when this is over without new enrollment or start-up fees, please submit an email to the applicable address with the subject line ‘Membership Freeze Request’. Include your name, keytag number, and the amount and date of your last invoice from ABC Financial/ Metro Fitness. This is for ID verification purposes. We will freeze your membership retroactive to March 17 and will assess a $5+tax per member fee on your regular billing date throughout this event. When we reopen, we will reactivate you automatically, and your dues billing will resume.

If you wish to CANCEL your membership, please submit an email to the applicable address with the subject line ‘Membership Cancel Request’. Include your name, keytag number, and the amount and date of your last invoice from ABC Financial/ Metro Fitness. This is for ID verification purposes. Your membership will be cancelled in accordance with your Membership Agreement, which stipulates that 31 days’ notice is required. If you have pre-paid your last month’s dues, your existing month will be pro-rated and your final billing will be applied once we reopen, giving you 31 days’ additional access to the gym plus the pro-rated days from your March billing. If you have not pre-paid your last month’s dues, your existing month will be pro-rated and your final billing will occur once we reopen, giving you 31 days’ additional access to the gym plus your pro-rated days applied for your March Billing. Please be advised that if you request cancellation, we will consider your existing Membership Agreement terminated, and you will be subject to new Enrollment and start-up fees if you choose to rejoin, even if you choose to re-join prior to the effective termination date of your cancellation.

In conclusion, please understand that this will be a process of several days, if not weeks. We are a very small fish in a very big pond of gyms nationwide who share the same billing company. We will be subject to long waiting times for the processing of any requests and we have a limited managerial staff, but rest assured any and all billing corrections and/or necessary refunds will be made in due course. Please do not panic if we bill you after your request. We will correct it.

We also know that these answers will not satisfy all members. We’ve been doing this a long time and we know that’s unrealistic. This is a situation that absolutely no one was prepared for, especially considering our membership-based structure, which is obviously unique in many ways. Please be patient. We value your time, we appreciate the financial and emotional impact of what is happening, and mostly we appreciate your membership with Metro Fitness.
